Policy & Procedure Manual

PURPOSE:

The purpose of this Policy Manual is to inform the members of "The Snowdrifters Ski Club" of the policies set forth by the Board Members. It is the Boards' expectation that all members abide by the Clubs' policies set forth here in.

MEMBERSHIP:

Every member must meet the minimum age requirement of 21 years of age or older.

Membership dues for one full year will start September 16th through the following September 15th of the next year. Dues are determined by the Board Members and may be increased as needed by the Board. You may have a single membership or a couple's membership. A couple is defined for the purpose of the membership as 2 members living in the same household with one newsletter being sent to the same address.

A Membership Booklet will be given to each paid member yearly as they are printed. This Membership Booklet is for the membership use only and not to be given out for solicitous mailings or for use outside of the club. At this time the membership booklet is paid for through the sale of advertisements of store owners. As long as the booklet is paid for through advertisements the membership booklet will be free to its members.

The Board may remove a member from the membership if the member has failed to guide himself/herself by either the Constitution of By-laws, or in a manner not in conformity with the best interest and ideals of the Snowdrifters Ski Club. The Board would do this with a two-thirds (2/3) vote of a quorum.

EVENTS:

The Snowdrifters have established there will be four parties per year, consisting of the Spring Party, Fall Party, Halloween Party and the Christmas Party. The 1st and 2nd Vice President along with the Activity Director will be responsible for running the parties. Each Board Member in attendance at the party shall assist.

The Snowdrifters have adopted a policy that the Ski Club will not supply any alcohol at its functions. The events will be BYOB.

The Snowdrifters' cancellation policy states, a non-refundable deposit. The event chairperson for that particular event will set up the amount of the non-refundable deposit with Board approval.

TRIPS:

The trips Chairperson will appoint a trips committee to determine the destination of the trips for the coming year. The Western Trip will have a Co-chairperson who will assist with the trip with Board approval. The following year the Co-chairperson will run the trip. The Chairperson appoints the Co-chairperson with approval by the Board. The Chairperson and Co-chairperson will share any comp from these trips.

You must be a member to sponsor an event. If you are interested in sponsoring an event, please contact the Activity Director or a Board member.

ACTIVITY CHAIRPERSON:

The Activity Chairperson must be elected to that position by the membership. He/she will coordinate all activities and pick a co-chairperson to assist with the trips.

The Activity Chairperson will send out an Event Package to anyone who sponsors a trip. Included in that package is a Snowdrifters Evaluation Form. We encourage each member to fill out the form and give it to the event chairperson sponsoring the event you attended.

BOARD MEMBERS:

All Board positions with the Snowdrifters Ski Club will be a 2-year position, with a maximum of two consecutive terms.

Board Members' dues are waived for the two years they are in office. They shall be admitted to the Spring Party, Fall Party, Halloween Party and the Christmas Party free of charge as their positions on the Board is a non-paid position.

There are eleven mandatory meetings for the Board Members per year, with no meeting held in the month of July. Failure to attend a minimum of six meetings per year with two unexcused absences could result in dismissal from the Board, subject to Board approval.
